Business Administrative Support (Lettings Team) 

Livingroom is seeking a Jersey based, confident individual to join our growing team. The position of Business Administrative Support for our Lettings team is an excellent opportunity to join a dynamic business and help deliver first-class client service. A self-motivated, proactive, methodical and flexible attitude with previous experience of working within an office environment will be essential for this role.

Responsible to: CEO, Directors, Management, 
Department: Business Support

Job Purpose:  Carry out office administration duties by supporting the Lettings team and assisting with the general operational running of the office.

Main Responsibilities:

  • Responding to phone calls/enquiries and email management
  • Qualifying applicants on the phone or by email
  • Booking clients in for property viewings.
  • Preparing letters of instruction
  • Logging of Landlords property keys for safekeeping
  • Maintaining the lettings spreadsheet and keeping it up to date
  • Assist in property matching applicants
  • Making up client files
  • Preparing Lease Documents
  • Prepare and send invoices for letting fees
  • Work with our in-house Creative team to produce/check brochures, promotional information to market and advertise rental properties.
  • To “take on” and conduct property viewings from time-to-time
  • General filing
  • Collect client due diligence and certification
  • Keeping client data up to date
  • Updating the status of properties on the website
  • Diary management
  • Ensure the database is kept up-to-date

Skills, Knowledge and Experience Required:

  • Good organisational and communication (both verbal and written) skills
  • Excellent time management skills, often working to tight and strict deadlines
  • Serve the clients courteously, ensuring highest standards of customer satisfaction, is met at all times. 
  • Use your own initiative
  • Experience of working as part of a team, working efficiently and effectively to support and meeting the objectives and lettings targets of the business. 
  • Good knowledge of Microsoft Outlook, Word and Excel.

Experience

Previous experience of working within an office environment will be essential.
